1. INTRODUCTION

1.1 The 1st Libyan-European Oil & Gas Summit, hereinafter called ‘conference’, is organised by HOT Engineering GmbH (HOT), hereinafter called ‘organiser’, a company registered in Austria with registration number FN 74920b, having its principal place of business at Parkstrasse 6, 8700 Leoben, Austria and offices at Herrengasse 1-3, Floor 2, 1010 Vienna, Austria.

1.2 For the purpose of these Terms & Conditions references to ‘us’ shall mean HOT Engineering GmbH (HOT) and references to ‘we’ and ‘our’ shall be construed accordingly. Reference to ‘you’ shall mean the entity completing a booking request and references to ‘your’ shall be construed accordingly.

1.3 The official language of the 1st Libyan-European Oil & Gas Summit is English. Simultaneous interpretation is not provided. It is therefore expected that delegates are able to communicate in the English language.

1.4 These Terms and Conditions cover all processes in relation to the conference including but not limited to registrations, sponsorship agreements and the organisation of the event itself. The rights and obligations of all parties shall be governed by and construed in accordance with the laws of Austria and all parties irrevocably agree to submit to the exclusive jurisdiction of the courts of Austria in respect of any dispute which arises hereunder.

 

2. REGISTRATIONS
2.1 All applications to register for the conference (and exhibition) as well as sponsorship opportunities are subject to availability. Final confirmation of your conference seat (and exhibition space) will be sent to you by email upon receipt of payment. Please contact us at registration@libyaogs.com if you do not receive your final confirmation within 10 working days of payment. Registrations will be treated on a ‘first come – first served’ basis. We strongly recommend early registration and payment as conference seats are limited.

2.2 Delegate passes are valid for named delegates only and, subject to Clause 4.2 below, cannot be transferred. Delegates will be asked for photographic ID prior to receiving their delegate pass (badge) at the registration desk. Acceptable forms of ID include a valid passport or driver’s license. If you are unable to provide identification matching your delegate pass (badge), you may be asked to leave the conference.

2.3 Badges are defined as a conference and exhibition card bearing identifying information such as a person’s name, title, position, company name and country. For security reasons it is a requirement for all conference and exhibition delegates to wear their badge at all times whilst at the conference and exhibition venue. No entry is permitted without appropriate badge.

 

3. PRICES & PAYMENT
3.1 All fees and packages for attending the conference and exhibition are set out on the relevant registration or order form, on libyaogs.com or can otherwise be obtained by contacting us at info@libyaogs.com.

3.2 All fees listed are in Euro (excluding VAT). The total fee plus 20% VAT is payable upon registration. Please be informed that according to Austrian Tax Law all services provided in Austria are subject to 20% VAT.

3.3 Payment is due in full at the time of registration. Registrations will not be confirmed until full payment is received and may be subject to cancellation. Preferred payment method is by credit card (Visa or MasterCard). Payments arranged by bank transfer must be received at least two (2) weeks prior to conference commencement, otherwise no seats are confirmed. Cash payments will not be accepted.

3.4 Registrations less than two (2) weeks prior to conference commencement will only be accepted with credit card payment, unless we explicitly agree in writing to alternative payment terms. If for any reason we have not received full payment prior to conference start, you (or the attending delegate) will be asked to provide payment by credit card upon arrival at the conference. We reserve the right to cancel your registration at any time if payment is not made.

3.5 All ‘Early Bird’ discounts are granted to delegates who register and pay in full on or prior to 31 March 2018. Any discounted fees require payment at the time of registration. Registrations received prior to 31 March 2018 without full payment will be charged at regular pricing. Discounts cannot be combined with any other reduced offers.

 

4. CANCELLATIONS & SUBSTITUTIONS
4.1 Cancellations must be received in writing by email to registration@libyaogs.com and are subject to the following charges:

  • Cancellations received on or before 31 May 2018 will be refunded less a EUR 150 administration fee.
  • Cancellations received after 31 May 2018 will not be refunded.

4.2 If you are unable to attend the conference, we will accept substitutions of delegates at no additional cost provided that we receive notification in writing to registration@libyaogs.com at least 5 working days prior to conference start and delegate fees have been paid in full.

 


5. CONFERENCE CHANGES & FORCE MAJEURE

5.1 While every reasonable effort will be made to adhere to the advertised packages, we reserve the right to change event dates, sites or location of the conference or to omit/alter event features including but not limited to advertised speakers or content. In the event of a change of event dates, sites or location of the conference, we will offer you the choice of either a full refund or the opportunity to attend the conference as varied.

5.2 Under no circumstances do we accept liability for any delays or non-performance due to acts of God, floods, lightning, storm, fire, explosion, war, military operations, acts of terrorism or threats of any such acts, any strike action, lock-outs or other industrial action or a pandemic, epidemic or other widespread illness (any and all of which causes are referred to as Force Majeure).

5.3 We shall not be liable to you for any costs incurred from cancellation or change of travel arrangements, hotel reservations, or any other costs and expenses incurred.

 

6. CONTENT & COPYRIGHTS
6.1 Any copyrights or other intellectual property rights in all presentations, documentation and materials published or otherwise made available as part of the conference, including but not limited to any documentation, audio or audio-visual recording of the conference (‘content’) are either owned by us or are included with the permission of the copyright owner.

6.2 No (i) photography, filming or recording; or (ii) publication, broadcast or other dissemination of the content is permitted. You shall not distribute, reproduce, modify, store, transfer or in any other way use any of the content and in particular (but without limitation) you shall not (and shall procure that each of your delegates shall not) upload any content into any shared system; include any content in a database; include any content in a website or on any intranet; transmit, re-circulate or otherwise make available any content to anyone else; make any commercial use of the content whatsoever; or use content in any way that might infringe third party rights or that may bring us or any of our affiliates into disrepute.

6.3 The content of the conference as detailed in clause 6.1 does not necessarily reflect our views or opinions.

6.4 Suggestions or advice contained in the content should not be relied upon in place of professional or other advice. Whilst we take reasonable care to ensure that the content is accurate and complete, some of it is supplied by third parties and we are unable to check its accuracy or completeness. You should verify the accuracy of any information (whether supplied by us or third parties) before relying on it. The content is provided on an “AS IS” basis without any warranties of any kind (expressed or implied). We hereby exclude to the fullest extent permitted by law all liabilities, costs, claims, damages, losses and/or expenses arising from any inaccuracy or omission in the content or arising from any infringing, defamatory or otherwise unlawful material in the content.

6.5 To the extent that any content is made available by us online we reserve the right to suspend or remove access to such content at any time.

 

7. PRIVACY POLICY & DATA PROTECTION
7.1 By registering to attend the conference (and exhibition) you explicitly agree that your personal data may be collected, processed and used for the purposes of processing your registration, preparing your participation, invoicing, publishing participants lists, conducting the summit, conducting follow-up work and for further publicity purposes surrounding the event. By enrolling to this event, you explicitly consent to the use of your personal information as described in this clause as well as in our Privacy Policies.

7.2 You acknowledge and accept that we have the right to publicly announce our business relationship with you which shall include but not be limited to announcements on social media. Such announcements shall not be disparaging or otherwise adverse to your business.

7.3 During the event, you may be photographed or filmed and the images or footage may be used by us and our affiliates, for internal and external promotional purposes, such as homepages, intranet, newsletters, social media, digital and printed promotional material, company brochures, sponsor presentations, capability statements and the like. Should you wish not to be photographed or filmed while onsite, please advise the event staff onsite at the registration desk.

 

8. LIABILITY
8.1 Subject to Clause 8.4 our aggregate liability to you, whether such liability arises in contract, tort (including negligence) or otherwise, for any damages, loss, costs, claims or expenses of any kind howsoever arising, out of in connection with any booking (or requested booking) made by you or otherwise in relation to a conference, shall be limited to the price paid by you in respect of your booking to attend the conference.

8.2 Subject to Clause 8.4 we shall not be liable to you for (i) any loss of profit, loss of or damage to data, loss of anticipated savings or interest, loss of or damage to reputation or goodwill or; (ii) any indirect, special or consequential damages, loss, costs, claims or expenses of any kind.

8.3 You agree to indemnify us, our staff and our affiliates and to hold us harmless to the fullest extent permitted by law, against all loss, costs, claims or expenses of any kind arising from any act or omission by you (including your delegates) during or otherwise in relation to the conference.

8.4 Nothing in these Terms and Conditions shall limit or exclude either party’s liability for:

  • death or personal injury caused by that party’s negligence, or the negligence of that party’s employees, agents or subcontractors;
  • fraud or fraudulent misrepresentation; or
  • any other liability which cannot be limited or excluded by applicable law.
